Role Description

We are looking for an ambitious Executive Assistant to join our London office and support our Leadership Team and enable clear communication across the team along with responsibility for the coordination and supervision of the London office. The role will vary in duties from grabbing lunch to sitting in on strategic high-level meetings, therefore we are looking for someone that is adaptable. Other duties will include scheduling meetings, organising daily calendars and supporting the New Business team with sales support tasks. Attending Leadership meetings will provide the successful candidate with great business experience and insight across all functions of the organisation. You will be a confident and passionate team player, identifying and addressing the needs of the Leadership Team to ensure Volo’s workflow runs smoothly.

Key Responsibilities
  • Coordinate daily calendars of the leadership team
  • Cross coordination of the Leadership Team, enabling communication and a flow of information across all locations
  • Schedule appointments and coordinate travel & accommodation
  • Support the London New Business and Account Management team with sales support tasks such as scheduling appointments and reviewing pre-sales documentation
  • Act as the point of contact between the leadership team and employees/clients
  • Manage phone calls and emails
  • Respond promptly to managers queries
  • Communication with customers, partners and vendors
  • Complete office duties such as stationary ordering, post and booking meeting rooms
  • Suggest more efficient ways to run the office and troubleshoot malfunctions
  • Act as the central point of contact for Health & Safety and Fire coordination for the London Office
Key Skills and Experience
  • A degree in a business-related discipline would be highly desirable
  • Strong communication skills (via phone, email and in-person)
  • Experience exercising discretion and confidentiality with sensitive company information
  • Excellent organisational skills with an ability to think proactively and prioritise work
  • Advanced MS Office skills including Excel
  • Strong Multi-tasking and Prioritising skills
  • Scheduling / Diary Management
  • Familiarity with utilising online calendars and cloud-based systems
  • Ability to communicate across all levels of the business
